SetuVault
Features

Document control features for EPC projects.

SetuVault holds the controlled record of a project's documents from the first registration to the approved-for-construction issue, with every move attributable and time-stamped.

SetuVault · Project dashboard
Features

Everything you need for document control.

Document register

The register is the spine of the project, so it has to be right every time someone opens it.

  • One unique number per document, built from your project's numbering pattern.
  • Revisions and versions kept apart: only revisions are issued.
  • Issuing a revision supersedes the previous one in a single step.
  • Duplicate content is flagged, and the other party's own reference is searchable.

Review and approval

Reviews follow the rules agreed at the start of the job, and they keep following them when people are busy or on leave.

  • Configurable workflow templates with gates, parallel reviewers and four review codes.
  • Automatic assignment by role and discipline, edited on a screen, not in code.
  • Reviewers can hand over a review, and both names stay on the record.
  • Named alternates take over while someone is away.
  • An Excel-style comment sheet per document to follow up every comment.

Action tracking and reminders

Every open item has an owner and a clock, so a late response is visible long before it turns into a dispute.

  • Ball in court shows who owes a response right now.
  • Working-day clocks use your project's holiday calendar.
  • Escalation ladder: reviewer, then controllers, then project administrators.
  • Notifications by kind, with a bell, desktop alerts and optional e-mail.

Transmittals and correspondence

Anything that leaves one company for another goes out on a numbered record with a date and a list of recipients.

  • Numbered transmittals with recipient acknowledgement.
  • Distribution lists decide who receives approved documents.
  • RFI, NCR, TQ and SI tracked beside the register.
  • Project mail that stays inside the project record.

Audit trail

The history of a document is written once and kept exactly as it happened.

  • Append-only audit trail. The database itself refuses edits and deletes.
  • Hash chain makes any tampering detectable afterwards.
  • Denied attempts are recorded as well as successes.
  • Files in object-locked storage with size and SHA-256 checked on upload.

Access control

Each company sees its own part of the project and nothing more.

  • Deny by default. A project you cannot see does not appear to exist.
  • Row-level security in the database, on every table.
  • Two-step verification with an authenticator app.
  • Sign out of every device at once, with a log of every sign-in.

Document numbering

Vendors and clients keep their own drawing numbers, and the project keeps its own. Both live on the same document.

  • A vendor's or client's own number is stored beside the project number.
  • Their number shows under ours in the register and is found by search.
  • Numbering pattern with a live preview, fixed once documents exist.
  • File names can be required to carry the document number.

Project administration

Project administrators run the project from screens, not from requests to a developer.

  • Roles, members, companies and work packages managed in one place.
  • Workflow, escalation ladder and holiday calendar set per project.
  • Delegation of authority, confidentiality rules and legal hold.
  • Project backups, recycle bin and close-out under the administrator's control.

Support desk

Help is asked for, tracked and given without leaving the portal.

  • Support requests with a ticket number, a priority and a reply due time.
  • Sixteen request types, each asking for the details the desk needs.
  • Remote support through time-limited 'view as' sessions (impersonation).
  • The person is told, and the audit trail names whoever helped.

Search and reporting

Finding a document should take one keystroke, and knowing where a project stands should take one page.

  • Press the slash key anywhere to search numbers, titles and references.
  • Advanced search across documents, transmittals and correspondence.
  • Standard reports and an MDR export ready to send.
  • Cycle time per gate, rework ratio and late items by party.
Document register

One register, one current revision per document.

Every document has one number that is never reused. Exactly one revision is current at any moment. The register shows each document by its current revision, with the file's program icon, state and owner.

On most projects the register is a spreadsheet that one person keeps alive. Here it is the system itself. When a revision is issued, the register changes for everyone at the same moment, and the earlier revision is still there when someone asks what was approved last month.

  • Numbering pattern fixed at project start, with a live preview in the new-project wizard.
  • Revision and version are different things: re-uploads stay private until a revision is issued.
  • Issued revisions refuse further files, so content never changes under a fixed revision.
  • Superseded revisions stay retrievable exactly as issued.
  • Icons for PDF, Office, AutoCAD, Revit, IFC and more, detected before upload.

Vendor document numbers

Map vendor numbers to project document numbers.

Every vendor arrives with a numbering system of its own, and nobody wants to renumber a thousand drawings. SetuVault keeps the vendor's number as the document's external reference, right beside the project number.

The register shows both, one under the other, and the search box finds a document by either. A controller who receives a vendor drawing can look it up by the number printed on the title block and land on the project record straight away. Clients' own references work the same way.

  • External reference set at registration or added later from the document page.
  • Every change to it is recorded with the old and the new value.
  • Project numbers follow one pattern, previewed before the first document is registered.
  • A project can insist that every file name carries the document number.
  • Shared numbering libraries reuse one scheme across a programme of projects.
SetuVault · Numbering rules
Document numbering rules that keep every number consistent.
Workflow automation

Automatic routing for reviews and approvals.

Each project adopts a workflow template and keeps its own copy. For every step you choose who is assigned, by role and discipline, and what happens for each review outcome. Every automatic move follows the same rules and audit trail as a person's move.

Each rule reads like a sentence on the screen, for example who receives a drawing after an approval with comments, and a document controller can change it without calling anyone. If a rule cannot find a person to assign, the document waits where it is and the controllers are told why.

  • Assign by role and discipline, with a manual fallback when nobody fits.
  • Parallel or sequential review per step.
  • Review code 3 can start the next revision automatically.
  • Issuing a transmittal can move a document into the receiving party's review.
  • When automation cannot act, it stops, records why and tells the controllers.

Document review

Review codes and approval decisions.

Reviewers answer with a code, and the worst code decides the next state. The document page shows the workflow's path in its own words, who owes the next move, and the response clock.

Engineers already use these codes on paper transmittal forms, so there is nothing new to learn. The difference is that the code, the comment and the name behind them are captured together and stay attached to that revision for good.

  • 1 Approved, 2 Approved with comments, 3 Revise and resubmit, 4 Rejected.
  • The author can never be their own reviewer.
  • Delegation and named alternates keep reviews moving.
  • Every move records the person, time, reason and the states on either side.
  • Document page links the file, revisions, reviews and audit history.

Comment sheet

An Excel-style comment sheet for every document.

Switch on the comment sheet for a project and each document gets one Excel-style sheet covering all its revisions. Reviewers add comments, the concerned person responds, and the author marks each one resolved. Open rows show at a glance what still needs a follow-up before the next revision goes out.

Many clients still want a comment sheet in their own format at the end of each review cycle. The sheet keeps that habit and drops the copying. Comments are typed once, responses sit right beside them, and the export is ready whenever the client asks for it.

  • Columns: serial, revision, comment, by, code, concerned person, response, resolved.
  • Each person edits only their own cells, once. Saved comments are history.
  • Review codes 2 and 3 open the sheet so the reasons are written down.
  • Project administrators and document controllers can export it to Excel, and each export is audited.
SetuVault · Comment sheet
A document's comment sheet: every review comment, response and resolution across its revisions.
Transmittals

Numbered transmittals with acknowledgement tracking.

A transmittal freezes what was sent and to whom. Recipients acknowledge it, and anything unacknowledged is visible. Distribution lists send approved documents to the right organisations and roles.

A transmittal answers the three questions that come up in every progress meeting: what did we send, who got it, and did they confirm. With the record kept here, the answer takes seconds instead of a hunt through sent mail.

  • Transmittal marked for action with a due date, or for information.
  • Every recipient is notified when it is issued.
  • Acknowledgement is recorded against each recipient.
  • Hard copy register lists holders of controlled copies for recall.
SetuVault · Transmittals
From the transmittal list into a transmittal with its distribution and acknowledgements.
Dashboards and reports

Project dashboard and performance metrics.

The dashboard counts each document by its current revision. Performance metrics show cycle time per gate, rework and the gate that holds things up, so bottlenecks show before they become claims.

Project managers bring these numbers to the weekly meeting. If one consultant takes twice as long to return drawings, or one discipline keeps getting code 3, it shows up here first, while there is still time to act on it.

  • My tasks with counts and overdue markers.
  • Ball in court by party and age.
  • Median and 90th-percentile cycle time per gate.
  • Rework ratio: revisions per approved document.
  • Standard reports and an MDR export.
SetuVault · Performance metrics
Performance metrics on review turnaround and workload.
Audit trail

A tamper-evident audit trail.

Every action carries who, what, when and under what authority. The trail cannot be edited or deleted, and a hash chain exposes any attempt. Platform support actions are attributed too.

Auditors and claims consultants usually ask for the same thing: show me who did this, and when. The trail answers that directly, and because each entry is chained to the one before it, a missing or altered entry would stand out.

  • Slide-down entry detail with before and after values.
  • Sign-in activity, e-mail deliveries and webhook deliveries logged.
  • Support 'view as' sessions are time-limited, notified and named in the audit.
  • Project close-out package and per-project backups.
SetuVault · Audit trail
A complete audit trail of every action taken on the project.
Project administration

Project settings managed by your administrator.

Everything that shapes a project lives on a screen the project administrator can reach: who belongs to it, what each role may do, how documents are numbered and which route a drawing takes for review.

Changes take effect at once and land in the audit trail like any other action, so there is never a question about who altered a rule or when. When a project ends, the same administrator takes the backups, runs the close-out and decides how long the records are kept.

  • Members, companies, roles and work packages, with bulk import from Excel.
  • Review workflows, automation rules, escalation ladder and holiday calendar.
  • Delegation of authority, alternates and absences during leave.
  • Confidentiality rules and legal hold on sensitive records.
  • Project backups, recycle bin, handover and retention.
SetuVault · Review workflows
Configurable review and approval workflows for each document type.
Support

Support requests and remote support.

A project administrator raises a support request from the portal itself. They pick what they need from sixteen request types, and the form asks only for the details that kind of request needs. Each request gets a ticket number and a reply due time that follows its priority.

When a problem is easier to show than to describe, our support desk can view the project as the person who reported it. That is remote support without a screen share. The session has a time limit, the person is told who is looking and why, and every step is recorded under the helper's own name. A project administrator can do the same for their own team, but only under a grant from the platform administrators, for one project and for a set time.

  • Ticket number, priority, status and a running conversation on every request.
  • Request types from sign-in problems and restores to exports and numbering changes.
  • Reply targets by priority, and the desk is reminded when one is missed.
  • View as sessions end by themselves and can never change a password.
  • Look only, unless the grant says the helper may act.
SetuVault · Support requests
Raising a support request: pick a category and the form asks for what the desk needs.
Users and roles

Bulk user import from Excel.

Project administrators download an Excel template, fill in organisations and members, check the file and import it in one go. New people get a one-time password and set their own at first sign-in.

Bringing a new subcontractor on board used to mean a day of creating accounts by hand. With the template, their administrator fills in one sheet, the file is checked, and every person is created with the right role in a single step.

  • Check first: nothing is written until the file is clean.
  • Roles, disciplines and work packages set per person.
  • Generate a 20-character password at first sign-in.
  • Withdraw a company and all its people lose access at once.
SetuVault · Members and roles
Members, organisations and roles on the project.
Full feature list

Complete list of features.

This is the full list of what people can do in the portal today, grouped the way the menu is. Nothing is left out to keep the list short.

Overview

The first screen after sign in, plus the tools in the top bar that follow you onto every page. They show what needs you today and take you anywhere in a keystroke or two.

14 features
Project dashboard
Counts of documents by state, items returned for revision and documents awaiting a decision, with shortcuts to open the register or register a document.
Project switcher
Move between the projects you belong to from the top bar, or open the list of all your projects, without signing in again.
Top-bar search launcher
Press the slash key on any page and type a number, title, subject or the other party's own number. Enter opens the first hit.
Quick launch
Quick launch in the top bar lists the screens open to you, so you can jump to one directly from wherever you are.
Notification bell
Newest first, the bell lists what is waiting on you. Mark all read, clear the list, or open an item to reach it.
Notifications history
Everything you have been told, filtered by read state, kind, project or a word of text, and paged. Opening one marks it read.
Announcements card
Maintenance windows and incident notices appear as a card for the people they concern while they run. Each person can dismiss the card.
Colour palette
The palette menu in the top bar changes the portal's colours to suit your eyes and your screen.
My profile
Update your name, job title and phone, and read your organisation and roles on each project. Administrators set the organisation and roles.
E-mail and desktop alerts
Receive each notification as it happens, one daily digest at an hour you pick, or nothing by e-mail. Desktop alerts reach other tabs.
Password change
Passwords are changed from your profile. A first-time user replaces the administrator's one-time password before anything else, and it stops working at once.
Two-step verification
Scan a code with an authenticator app, then enter a six-digit code after your password. Recovery codes cover a lost phone.
Signed-in devices
Every browser you are signed in from is listed with address and last activity. Sign one out, or sign out everywhere else at once.
File-type icons
Files in every list and on every document carry the icon of their program, such as Acrobat, Excel or AutoCAD, shown even before upload.

Documents

The register is the project's record of every drawing and document, with its current revision, state and file. Everything else in this area works from it.

16 features
Document register
Each document is one row with revision, workflow status, ball in court, container state, discipline, zone, type and originator, sortable and paged.
Register filters
Narrow the list by code, discipline, zone, type or container state, or show only what was returned. A badge counts active filters.
External reference
Enter a vendor's or client's own number beside the project number. It shows in the register and is searchable, so theirs map onto yours.
Register new
Take a number from the file name or reserve one before the drawing exists. Add title, revision and reason for issue, then upload.
Deliverable link
Choose the scheduled deliverable a new document fulfils and its title and classification fill in for you.
Upload check
Before a revision is stored, a PDF is compared with the previous one. A poor match or different title-block number needs a recorded reason.
Document page
Details, file, size and SHA-256 fingerprint, revision history, review status and the document's own audit trail, plus edit and mark as unread.
Revisions and issue
Start the next revision when the last review cycle is complete, then issue it as Shared or Published. Issuing freezes the file.
Download as issued
Fetch any revision exactly as it was issued. Earlier revisions stay retrievable after a newer one supersedes them.
Advanced search
A single query runs across the register, transmittals and correspondence, narrowed by record type, date and organisation, covering numbers, titles, subjects and message bodies.
Work packages
Contract packages with a responsible company and period, each showing how many scheduled deliverables are approved and how many are late.
Deliverables schedule
Documents each party is contracted to produce, with planned, forecast and actual dates, variance, comment status and the document that fulfils each line.
MDR export
Download the master deliverables register as a CSV file for the weekly report. A deliverable shows as not produced until the register has it.
Drawing viewer
View a PDF drawing in the browser, step through pages and zoom. A file that cannot be previewed shows its program for download.
Markup tools
Draw on a page and comment, addressed to a named person if needed. Markups stay with the revision and never alter the file.
Revision compare
Overlay another revision of the same drawing and highlight what is new on the page before you comment.

Transmittals

A transmittal is the contractual record that named revisions went to named parties on a date. This area covers issuing, acknowledging and tracking them, on screen and on paper.

6 features
All transmittals
Formal record of what was issued and to whom, with totals for issued and overdue and a count of recipients yet to acknowledge.
Issue transmittal
Choose issued revisions, mark recipients for action or information, set a response period in working days and issue. All share one date and deadline.
Transmittal detail
Documents, the distribution matrix, who has acknowledged and who has not, and the working-day clock still running, all on one transmittal.
Acknowledge receipt
Recipients confirm receipt with one click. If nobody does, the transmittal is deemed received after the contract period while the response clock keeps running.
Hard copy register
Numbered controlled paper copies are issued against a holder, and uncontrolled ones are stamped. Controlled copies are flagged for recall when superseded.
Distribution lists
Standing recipient groups by discipline or document type, with each person marked for action or information, so nobody has to remember who is copied.

Correspondence

Formal exchanges between organisations, numbered and held in the record. Once sent, nothing can be edited or withdrawn.

8 features
Project mail
Formal threads addressed between organisations, filtered by open or closed. Messages cannot be altered after sending, and a settled thread can be closed.
Mail thread
Follow a thread in order and reply to it, with each recipient marked for action or for information.
Attach by document number
Reference documents by number inside a mail. The reader opens whichever revision is current at that moment, never a stale copy.
RFIs
Raise a request for information with subject, severity, assignee and the document or location it concerns, then follow its due date and days open.
Non-conformance reports
Record a finding against a document or location, assign it to the responsible party and track it to a closing disposition.
Site instructions
Instructions go to a named organisation, tied to a document or location, and are watched through to response and close.
Technical queries
Put a technical question to the party able to answer it, with severity and due date, and see who holds it now.
Correspondence detail
Status, ball in court and dates for one item. The assignee gives the formal answer, the raiser closes it with a disposition.

Review and approval

Where documents move. Each gate names who reviews, in what order and by when, and the portal keeps the clock and the record.

12 features
My actions
Everything waiting on you grouped by what it needs and ordered by contractual due date, with counts for new, overdue and unread.
Ball in court
Open items grouped by the organisation that owes the next action, with document, revision, status and due date and a count of overdue.
Submit for review
Send an issued revision into its approval workflow with a response period. Reviewers are assigned automatically or chosen by you, as the step allows.
Record a review
Reviewers record a response code and comments for their gate. The lead gives a consolidated decision, and approved work can be released for construction.
Delegate a single review
Hand one review to a colleague in your organisation. The due date does not move, and the obligation passes with its clock.
Comment sheet
Review comments from every revision on an Excel style sheet in its own window. Reviewers comment, the person concerned answers, the author resolves.
Alternates and absence
Record who stands in while someone is away. Reviews assigned during the absence go to the alternate, with both names on the record.
Delegation of authority
Matrix of what each role may approve, narrowed by rules for document class, discipline, review code and expiry. Approvals outside the rules are refused.
Review workflows
Define the approval chain as gates, each with reviewer, order, response days and scope, marked as must review or may review.
Silent gates
Past its response period, a gate that stays silent counts as no objection, so one busy reviewer cannot hold up the chain.
Workflow automation
For each step, set who is assigned, whether reviews run in parallel or in sequence, what happens when they return and who is told.
Project workflow
Check which workflow type a project runs on, bind each party to an organisation, adjust its settings and read the hierarchy in force.

Reports

Reports are worked out from the register, the review record and the correspondence, so they match what people see on their own screens.

3 features
Audit trail
Tamper-evident record of who did what and when, filterable by action, document or person, with a drawer showing each full entry.
Performance metrics
First-time-right rate, rework ratio, cycle time per gate, the bottleneck gate, ageing by party and overdue exposure, with a monthly trend.
Standard reports
Overdue items across reviews, transmittals and correspondence, register status by discipline, first-time-right, review turnaround by organisation and response times.

Project administration

Set-up and upkeep for a project administrator or document controller: who is on the project, how documents are numbered, who may see what, and how it is closed out.

18 features
Members and roles
List everyone on the project with organisation, job title, roles and last seen. Change a role, restrict by discipline or withdraw access.
Add a person
Grant access with organisation, role and disciplines. Someone new to the platform receives a one-time password that is shown once.
Bulk member import
Load companies and people from an Excel or CSV template. The file is checked first, and one-time passwords can be copied or downloaded.
View as a member
Project administrators can view the portal as a member to see what that person sees, for a limited time, with the member told.
Organisations
Bring companies onto the project, new or already on the platform, with kind, capacity, contract reference, workflow party and packages. Withdraw or reinstate them.
Access and confidentiality
Restrict a class or discipline to chosen roles and organisations, or limit vendors to their own and released work. Every denial is logged.
Numbering rules
The number pattern, a preview of the next number, and the allowed values for each segment such as discipline, type and zone.
File-name rules
Require uploaded files to begin with a valid document number. The portal reads the number from the name and sets the revision itself.
Revision codes
Revision codes come from the portal and are never typed, so spellings and sequences stay consistent across the register.
Reason for issue
Registering a document or starting a revision uses a project dropdown, not free text. Reasons can be added, reordered, retired or restored.
Handover and retention
Track the as-built set against released work, set retention years by class, place legal holds and export each party's record as JSON or CSV.
Project backup
Files, records and audit trail are archived in the background. Watch the history, download an archive or request a close-out package.
Project escalation
Decide who is told, and how many days later, when a review runs past its due date. Each level fires once per review.
Recycle bin
Documents deleted by mistake wait here with revisions, files and history intact. Restore one and it returns with its earlier status.
Support requests
Raise a request to the platform administrators with files attached, follow the conversation and see its priority and response target.
Project settings
Edit the name, dates and display timezone, move the project from set-up to active, and check what is still missing before it goes live.
Working calendar
Add non-working days to the weekends already excluded, so every response period is counted in working days.
Comment sheet switch
Turn the comment sheet on or off for a project. Comments already made are kept either way.

Platform administration

The console for platform administrators and support staff. What each person sees depends on the tier of access they hold.

36 features
Platform dashboard
People, open support requests, impersonation sessions, projects by status, storage, backups and the last day's audit entries, with a health row for each project.
Service health
Services and scheduled jobs, database and disk status, live graphs of load and answer time, and the newest application errors.
Saved replies
Standard answers the support desk inserts into a request and edits before sending. A reply can be offered first for one category.
Support report
Requests raised and resolved over a chosen period, first answers on time, median times, backlog by age and workload by handler.
Impersonation
View the portal as a person, or let one project administrator do so for a set time. Every session is audited under both names.
Support sessions
During a support session the helper sees what the person sees, it ends by itself after a limit, and the person is told.
Announcements
Publish maintenance or incident notices with a level, audience and start and end times. They appear as a card while they run.
People directory
Accounts across all projects and companies. Open one to issue a one-time password, disable the account, end sessions, reset two-step or withdraw roles.
Organisation directory
Companies on the platform with their projects and people. Edit particulars once for all projects, or merge a duplicate into the company that stays.
Platform administrators
Manage the platform's own accounts and their tiers, reset passwords, disable or delete accounts. The last full administrator can never be removed.
All projects
Projects the platform runs, with status, owner, period and document counts, and a link to open each one.
New project
Name a project, choose its workflow type, bind each party to an organisation, set the numbering pattern and create it, ready for people.
Project backup settings
Set where archives are kept, how many versions, the schedule per project, a remote copy over ssh and when administrators may download.
Restore a project
Bring a backup back as a new project that starts in set-up, with the reason recorded and the original left untouched.
Platform recycle bin
Deleted documents across projects, shown with the reason and restorable by a platform administrator.
Role catalogue
Look up what each role confers and who holds it, by project and by organisation. Create, edit, disable or delete roles.
Workflow templates
Versioned catalogue of approval hierarchies. Clone, revise as a new version, retire or enable them, and see which projects use which version.
Workflow template detail
One version's parties, roles, statuses, transitions and gates can be read before a project adopts it.
New workflow template
Write a template from a blank page or an existing version, validate the definition, then save it to the catalogue.
Project templates
Save a project's numbering, vocabulary, review gates, holidays and retention as a template, then apply it to any project in set-up.
Libraries
Shared vocabularies of disciplines, document types and zones, kept once and added to any project without disturbing that project's own codes.
Active sessions
Everyone signed in now, with device, address and last activity. End one session and that browser is signed out on its next click.
Platform audit trail
All recorded acts across the platform, filterable by outcome, company and project. Verify the chain or export the result as CSV.
Sign-in activity
Successful and failed sign-ins by day over seven, thirty or ninety days, with the addresses that fail most and the latest events.
E-mail deliveries
Messages the platform tried to send, with recipient, subject and result, searchable by address or subject.
Webhook deliveries
Events sent to another system with the answer received, number of tries and next retry, filtered by webhook or event.
Backup and restore runs
Backups, close-out packages and restores for every project, with kind, state, size and archive, filtered and paged.
Application log
Server log lines, newest first, filtered by level, file or text. It is read only and nothing is cleared from here.
Branding
Platform name, tagline, sign-in headline, footer and help contacts, plus replaceable logos. A preview shows the sign-in panel.
Auto layout
Decide whether the top bar folds buttons into menus on narrow windows or keeps every item in place, for everyone on the platform.
E-mail settings
Check the relay in use, send a test message and edit the wording of each notification e-mail, with a delivery log underneath.
Notification rules
Grid of notification kinds against audiences. Untick a cell to stop that kind reaching that audience, or switch a whole row off.
Integrations
Read-only API keys for other systems, limited to chosen projects and a life in days, plus signed webhooks with a test button.
Storage and quotas
Each project's storage, documents and members against its limits, with the licence shown. Set limits per project or follow the default.
Platform escalation
Who is told, and how long after, when a support request has no first reply by its target, by priority from urgent to low.
Configuration
Read-only view of sign-in, sessions, two-step, e-mail, impersonation, support categories and the audit chain. Secrets are never shown.
Who it is for

One platform for every project party.

Access follows the project, the company and the role. A project you are not on does not appear to exist.

Companies join a project as participants, and each person holds a role inside their own company. Drawings that are still work in progress stay with the company producing them until they are shared, and every party can see what is waiting on whom.

Owner / client

See approved documents, receive them by distribution, and keep a defensible record of what was approved, by whom and when.

PMC / consultant

Receive submissions by transmittal, assign discipline reviewers, decide with a review code and see which party owes the next response.

EPC contractor

Register drawings, run internal review gates, issue to the PMC, and receive the next revision automatically when a document comes back.

Document controller

Own the register, issue revisions and transmittals, consolidate reviews, manage hard copies and export the record.

Reviewer / discipline engineer

A clear task list, one place to record a code and comments, and delegation or alternates for leave.

Project administrator

Sets up the project, its workflow, numbering, calendar and members, then keeps an eye on the metrics, the backups and the close-out.
